1. Build an Outlook email profile.

If you already have an account in outlook profile, move out to the next step.

2. Accumulate the following information to set up Outlook 2007 & 2003 as your email client.

Quick tip: You are connected with your ISP (Internet Service Provider) for the following information.

  1. Login name
  2. Password
  3. Incoming mail server address
  4. Incoming email server type
  5. Outgoing mail server address

Link with secure webmail

In the fresh version of Quickbooks, you can use Secure Webmail for an easier and safer connection to your email provider. Dissimilar regular webmail, Secure Webmail works by linking your Intuit account to your webmail account, so it doesn’t require you to re-enter your password everytime you send an email. Secure webmail is only available for certain provides depending on the year of your QuickBooks version:

  • QuickBooks 2018: it is provided to Gmail and Hotmail/Live users in the US, UK, and Canada.
  • QB 2017 R5 and newer: It provided for Gmail users in the US only.
  • QuickBooks 2017 R4 and older: Secure Webmail so it is not provided

To arrange Secure Webmail:

  1. To the QuickBooks Edit menu, choose Preferences and tap Send Forms.
  2.  Choose Webmail and tap Add.
  3. Choose your provider from the drop-down and enter your email address.
  4. Confirm that the Use Enhanced Security checkbox is checked.
  5. Tap Ok.
  6.  When incite, login to your Intuit account. The login name or email address you use here may not necessarily be the same as the one you are connecting to QuickBooks.
  7.  Your webmail available login page will display. Login in and select to grant Intuit Access.

Note: In a hosted environment such as Right Networks, you will be login into your webmail provider when you send emails through QuickBooks even if you use Secure Webmail.

Connect with regular webmail

The port setting and the webmail server are driven by ISP. QuickBooks can certainly fill out information for some of the most common providers, such as Gmail, Yahoo, and Hotmail/Live. When you use a different email provider, then you can use the lists below to find its server and port information, but it is highly recommended to verify this information with your Isp Before setting up webmail in QuickBooks Desktop.

  1. To the QuickBooks Edit menu, choose Preferences and tap Send Forms.
  2.  Choose Webmail and tap Add.
  3. Fill out the Add Email Info and tap OK.
  4. Tap OK to save the changes.
